All University Employees Asked to Complete Workday Training Before June 30 - University of Arkansas Newswire

June 22, 2020

The campus is quickly approaching the deadline for the transition to Workday and that means all University of Arkansas employees need to complete Workday training by June 30.

Workday is replacing PeopleAdmin, Razorbuy, BASIS and webBASIS, so all employees must complete the Workday Fundamentals training to learn how to login to the system and find their relevant information, record their own leave and other basics. Employees who are a part of the current target processing chain or have delegated processing responsibilities will require additional training.

Each employee hired before March 27, 2020, should have received an email from Project One with instructions for accessing the Workday training app with the relevant training modules. Faculty on nine-month appointments may complete their Workday training as soon as possible after their appointment begins.

If you did not receive an email with instructions to access the Workday training materials, you can find the instructions at workday.uark.edu/training

Additional resources are also available on the Workday Resources Page.

If you have any questions regarding training, please email workday@uark.edu and one of our University of Arkansas, Fayetteville Project Team members will contact you.

Workday Fundamentals training, available through the Workday app, is required for all employees and includes individual self-directed segments focused on the basics of using Workday including:

  • Core Concepts
  • Features and Navigation
  • Finding Information

Training materials for employees who require additional training are also now available through the Workday Training App:

  • Spend Authorization and Expense Report - through the Employee Self Service Course
  • FIN19:  Purchase Requisitioning
  • HCM20:  Time Tracking for Timekeepers

Courses are assigned based on your security roles. Not everyone will have access to these courses. If you are not enrolled in a course and believe that you should be, please email workday@uark.edu and we will investigate the issue.

How Do I Access Training?

There are several courses available through the Workday Training App. The courses are pre-assigned based on your security roles and will be available through Office 365 apps. The recommended browser is Google Chrome. Navigate to myapps.microsoft.com.

  1. Login with your institution credentials for Office 365. You may be prompted to authenticate via Multi-Factor Authentication (MFA) or set up MFA if you have not done so previously.
  2. Locate and click the 'Workday Training' Icon from the available applications list.
  3. You will automatically be logged into Blackboard. Please note: This is the University of Arkansas System Blackboard and not University of Arkansas, Fayetteville.
  4. The courses that have been assigned to you will appear in the 'Courses: Quick View' area.

What is the Workday Sandbox App?

The Workday Sandbox App will become our Workday training app once we go live in Workday. This app is now available to you so that you have an opportunity to go into Workday and get a feel for how to maneuver within the site. This allows you to put what you are learning in the Workday Training courses to use. This site is currently where many employee records along with supervisory organizations which display an employee's direct reports, team members, etc. have been loaded to test many elements of the system. You will find that this information is not always correct. The information there is from a 'snapshot' of data from BASIS as of March 27. This is not production so please only utilize this site in the way it was intended, and that is to take the training courses you are receiving and putting that new knowledge to use by going into Workday and practicing what you are learning.

Once we go-live on July 7, the Workday Sandbox will be refreshed weekly with production data. This will become our training tenant and is a great way to practice in a safe environment.

Will Additional Training be Offered?

There are additional instructor-led trainings offered by our University of Arkansas, Fayetteville Workday Project Team. These future sessions are now posted on the HR Employee Development Calendar and will begin in July. These additional training sessions will have an emphasis on more complex processes not covered in the Project One course materials. Now is the time to register for any of the upcoming trainings that are of interest to you.
